Administrative Assistant @ CHIP

Communicaid for Hearing Impaired Persons (CHIP) is the only registered nonprofit organization which serves Anglophones affected by hearing loss, their families, friends, coworkers and the community at large, in Quebec. CHIP has been providing ongoing programs, services and support to the hard of hearing community in and around the greater Montreal area since 1979, almost 40 years. Many of our team and board members are people affected by hearing loss. We understand and are concerned with the struggles and the difficulties that people with hearing issues often experience in their daily lives.

CHIP’s mandate is not only to offer ongoing programs and services but also to connect and inspire those affected by hearing loss, thereby helping to improve quality of life and counter isolation. CHIP’s various programs help to raise awareness about the potential consequences of hearing loss, such as isolation, depression, anger, and dementia, to name a few. As a largely “invisible “ disability, there are many “myths” and misconceptions about hearing loss, our vision is a community where we can hear, be heard and thrive.

Our organization currently has a full-time Administrative Assistant opportunity available.

EDUCATION, KNOWLEDGE AND SKILL REQUIREMENTS:
-A college or university level education in an administration job related field or a minimum of 3-4 years experience
-Extensive knowledge and experience in an office work environment, preferably in the community based, non-profit sector
-Must be BILINGUAL with excellent english and french oral and written communication skills
-Proven organizational and time-management capabilities
-Detail oriented with the ability to take initiative to establish priorities, plan ahead and meet deadlines
-Creative problem solving and decision-making skills
-Professionalism, tact and the ability to use sound judgement and discretion
-Advanced computer experience and skills in the use of the G Suite and Google apps
-Experience working for a non-profit organization and with the hard of hearing community is an asset

Reporting to the Executive Director, the Receptionist is the front line of CHIP with primary responsibilities to:
-Provide support to the organization and Executive Director
-General office duties including but not limited to, answering and prioritizing phone calls, responding to and sending emails, answering questions and directing visitors, filing, photocopying, faxing and mailing.
-Tracking donations, registration and membership forms.
-Data entry for Nationbuilder (CRM) and updating social media and WordPress platforms
-Ensure supplies are maintained, organizing the ordering of supplies as required and keeping the office area tidy and presentable
