Administrative Coordinator @ Concordia Greenhouse

Hours:​15-­20 hours/week
Start date:​June 8, 2015 (1 year contract, with possibility to renew)

Pay rate:​$15/hour

About the Concordia Greenhouse

The Concordia Greenhouse is a collectively run, consensus­based, non­profit organization. It uses the Henry H. Hall Building rooftop greenhouse as an all­organic space geared towards community, education and sustainable horticulture. The Greenhouse is a year­round green space that hosts workshops, projects and events raising awareness around food issues and alternatives to mainstream consumerism.

We aspire to strengthen the urban agriculture movement at Concordia University and in Montreal by growing local produce using ecological practices, providing experiential learning opportunities through volunteering, internships and jobs, and networking with other like­minded individuals and organizations.


Internal Communications

  • ●  Organize and schedule Collective operations meetings
    • ○  Organize meeting logistics (schedule, location, preparation, guests, etc.)
    • ○  Prepare and distribute agenda
    • ○  Ensure minutes are taken, distributed, approved and filed
    • ○  Coordinate summer planning for 2015­16: schedule, meetings, prep
  • ●  Manage and organize online internal communication platforms
    • ○  Collective member and Board of Directors (BOD) Google Groups (ex. Add/Remove


    • ○  G­drive for the Concordia Greenhouse
    • ○  Train Collective, Staff, and BOD on using G­Drive, as needed
  • ●  Act as liaison between Board of Directors and Collective
    • ○  Facilitate communication between the BOD and the Collective
    • ○  Ensure that the BOD is meeting requirements stipulated in the Greenhouse Constitution,

      as well as legal requirements

    • ○  Participate in relevant Committees established by the BOD and Collective (e.g. HR,

      Financial, Policy, Fundraising)

    • ○  Attend regular BOD meetings
    • ○  Assist with the Annual General Meeting (AGM), as needed
      • Support the BOD with planning and execution of the AGM
      • Act as a resource for BOD members
      • Coordinate and facilitate recruitment and training of new Board members
      • Assist with promotion, set­up and take­down of event

■ Ensure the Greenhouse Constitution, and regulations for non­profit organizations, are followed

Human Resources

  • ●  Maintain organizational calendar accurate and up­to­date
  • ●  Coordinate recruitment and hiring of new staff
    • ○  Job posting and interviews
    • ○  Coordinating Hiring Committees
    • ○  Ensure creation of training guides and templates
    • ○  Manage and update contracts
    • ○  Provide general operations training for new staff
  • ●  Conduct staff evaluations
    • ○  Schedule, assist in, and complete follow­up
    • ○  Manage confidential record­keeping and filing system
    • ○  Facilitate conflict resolution, as needed
  • ●  Administrative tasks
    • ○  Coordinate and compile yearly Annual Report
    • ○  Manage and update policies and procedures
    • ○  Coordinate Staff and/or BOD trainings, as needed
    • ○  Manage internal document management and policy setting/writing

      Public Relations

  • ●  Develop and maintain partnerships with like­minded groups on and off campus
    • ○  Attend any relevant meetings, conferences, networking events and workshops
    • ○  Act as spokesperson for the Concordia Greenhouse on campus, and in the community
  • ●  Seek and complete fundraising and grant­writing initiatives
  • ●  Maintain relations with university administration

○ Support Collective members with tasks related to infrastructure repairs, space use agreements, etc.

Collective Member Duties

  • ●  Attend and participate in Collective meetings
  • ●  Provide regular updates to Collective and staff
  • ●  Supervise Greenhouse space during opening hours (at least 1 shift/week)
  • ●  Maintaining a clean and safe environment
  • ●  Contribute to institutional memory and training guidebook by maintaining clear documentation of

    the position


  • ●  Strong ability to network and develop partnerships in a professional manner
  • ●  Experience with fundraising and grant­writing
  • ●  Experience working in human resources and with conflict resolution
  • ●  Knowledge of urban agriculture, food politics, the sustainable food movement and issues related

    to food security, especially in Montreal

  • ●  Ability to facilitate non­hierarchical group decision­making
  • ●  Familiarity with the Concordia Greenhouse Project and the project’s goals an asset
  • ●  Bilingualism (French/English) an asset

● Familiarity with Concordia networks and communities an asset


  • ●  Excellent oral and written communication skills
  • ●  Excellent interpersonal skills
  • ●  Ability to work efficiently in a self­directed and dynamic work environment
  • ●  Strong organizational and time management skills
  • ●  Detail­oriented, professional and punctual
