Administrative and Membership Coordinator @ Food Secure Canada

Food Secure Canada’s Montreal office is looking for a highly motivated, organized and experienced Coordinator. This position is based in Montreal and involves 4 days a week.

The successful candidate will possess the following skills and qualifications:

• A college or university degree in relevant fields
• Strong administrative and office management experience
• Highly organized and ability to cultivate efficient working practices
• Proven competence in classification and filing, including using online tools such as Dropbox and Drive
• Excellent computer skills (Office Suite, able to do simple layout and proficient in Excel)
• Experience with customer relations management tool (experience with CiviCRM or SalesForce an asset)
• Capacity to prepare applications for grants and manage grant reporting schedules and details
• Experience with volunteer management
• Fully bilingual with excellent writing and editing skills in French and/or English (translation abilities an asset)
• Excellent interpersonal and communications skills
• Ability to work in a team with excellent follow-through on tasks
• Knowledge of non-profit organizational governance (Boards, government reporting)

Responsibilities:

• Manage development of office systems, filing, calendar of meetings, production schedules for documents, staff work plan
• Maintenance of lists, databases and filing systems
• Manage contracts, engagements and annual work plan
• Manage logistics of Board meetings and other formal committee meetings
• Maintenance of tracking system for funders and other revenue sources
• Manage payable and receivable accounts
• Assist with fundraising and reporting obligations
• General administrative tasks, correspondence and inquiries
• Volunteer recruitment and management
• Assistance with select FSC activities (conference calls, meeting logistics, webinars, minute-taking)
• Assistance with all matters pertaining to the Board of Directors and Executive Committee, including organizing the annual AGM
• Assist Executive Director (ED) with budget-related and human-resource tasks
• Assist with development of organizational policies and ensure respect for bylaws
• Support the organization and logistics for Assembly and other FSC events as appropriate
• Assist ED with travel arrangements, meeting confirmations
• Assistance with communication tasks as appropriate: translation, proofreading, website content.
