External coordinator @ Hive Cafe Coop

Wage: $17.00 / hour
Duration: 1 year contract
Sept 15 – May 15: 17-20 hrs / week (may incur additional hours)
May 15 – Sept 15: 5 hrs / week (varies pending event schedule)

Responsibilities:

  • Cultivate and maintain communications with clients (users) and partners
  • Coordinate and manage email, forms and Google Calendar for events/catering.
  • Collaborate and liaise on behalf of clients (users) with other coordinators re:
    -Payroll and invoicing
    -Catering orders and delivery
    -Event requests and equipment
    -Marketing and Engagement
    -Menu development
  • Liaise with the Concordia Student Union, Security, Hospitality, and Environmental Health and Safety.
  • Ensure that all applicable Concordia University and Hive hospitality and event policies are followed (including insurance).
  • Ensure all required forms are signed and returned within university deadlines.
  • Forward all signed documents to Concordia Security’s Event Analysis.
  • Bottomline Event Supervision Schedule; coordinate worker members to supervise the events; or fill-in if necessary (different wage)
  • Use existing policy to oversee human resources, including recruitment, training, providing feedback performance, and ongoing development as well as keep operations manual up to date – with regards to Events Supervision.
  • Maintain records of all events and deposit fees in accordance with Hive administrative guidelines.
  • Help establish, document and update procedures related to space bookings.
  • Generate quarterly Event reports for the Hive board of Directors, as well as an annual report for the Concordia Student Union
  • Receive, respond to and coordinate catering order requests
  • Manage catering equipment, including maintenance, purchasing and storage
  • Coordinate and bottomline order deliveries
  • Engage in community awareness initiatives and outreach as required;
    -interact with cooperative members to regularly assess and evaluate the degree of community satisfaction;
    -recommend and implement new initiatives to keep up with demand and market changes
    -Collaborate with Marketing committee
  • Website and social media content maintenance
  • Support the Cafe & worker-members on the floor – one day per week
  • Shares expertise, mentors others, and fosters a climate of experiential learning, growth, and improvement, as well as ongoing personal and collective development.
  • Continues their own education/training as required to develop and acquire new skills in leadership, hospitality, and food issues.
  • Upholds and promotes the social, environmental, and economic sustainability of the café as outlined in the cooperative’s constitution
  • Ensures the financial viability of the Hive Cafe and work in collaboration with the BOD to ensure its financial sustainability.

EVENTS (9 hours/week)
(see above + old events contract)

  • Post supervising opportunities to Worker-Members a minimum of 7 days in advance.

CATERING (4 hours/week / on demand)

  • Receive, respond to and coordinate catering order requests
  • Manage and update google form (menu and Form)
  • Manage the catering email
  • Coordinate and liaise with other Coordinators on catering orders
  • Inform the Kitchen Staff of the order – place order with kitchen with specific delivery date – inform of special requests.
  • Check-in with the Fin/admin / Food coordinator regarding invoice (it’s auto generated)
    deliver the invoice to the client, coordinate payment of the order
  • Check in with kitchen regarding any special requests, and to ensure that the order will be ready on time
  • Ensure that the order is delivered to the proper location (collab with FoCo)
  • Coordinate with the Cafe Coordinator that the on-site needs of the catering order are met, and ensure that the
  • Barista’s are aware of the order(s) for pickup, or for in-house events (if applicable).
  • Delivery of order to location within the Delivery Zone
  • Follow up on payments and equipment returns
  • Follow up with the clients regarding Quality of Catering orders/ feedback that the clients would like to share
  • Collaborate on menu development and adjustments as needed
  • Manage catering equipment, including maintenance, purchasing and storage

MARKETING (2-4 Hours/week)

  • Purchases necessary merchandise, and tracking of inventory with the approval of the marketing Committee
  • Chairs the Marketing and Engagement Committee; calls meetings and creates agendas; as needed.
  • Implements promotional initiatives.
  • Engages in community awareness initiatives and outreach as required; encourages and promotes community involvement; interacts with cooperative members to regularly assess and evaluate the degree of community satisfaction; recommends and implements new initiatives to keep up with demand and market changes; investigates and resolves any possible food quality or service complaints.
  • Maintain a strategic outreach and promotion plan for the Hive for both the downtown and the Loyola Campuses, including the use of social media, digital platforms throughout the University as well as physical materials that can be used while tabling and engaging with students.
  • Maintain marketing materials, including:
    -Educational videos and materials about the Hive Cafe Cooperative mission
    -Marketing posters for both cafe locations
    -Social Media content (pre-coordinated)
    -An image advertisement adaptable to television
    -Marketing materials aimed at small business in the Concordia Cartier (SGW Cafe)
    -Blackboard design and image maintenance in collaboration with Cafe Coordinator
  • Ensure the documentation of new and existing activities is being completed in a comprehensive and easy to access manner
  • Website and social media content maintenance
  • Collaborate with the Finance/Administrative Coordinator to develop marketing campaigns around specials and exam menus
  • Archive marketing materials in Google Drive in an intuitive manner

CAFE & GENERAL COORDINATION SUPPORT (2-4 hrs / week as Needed)

  • Support the Baristas on the floor – one day per week (pending
  • Liaise with Facilities and Maintenance department when work orders are needed (if applicable).
  • Report and communicate on a bi-weekly basis by participating in Coco meetings (and to the BoD via coordinator liaison)
  • Shares expertise, mentors others, and fosters a climate of experiential learning, growth, and improvement, as well as ongoing personal and collective development.
  • Continues their own education/training as required to develop and acquire new skills in leadership, hospitality, and food issues.
  • Upholds and promotes the social, environmental, and economic sustainability of the café as outlined in the cooperative’s constitution
  • Ensures the financial viability of the Hive Cafe and work in collaboration with the BOD to ensure its financial sustainability.
  • Accomplish tasks assigned by the committees and / or the board of directors
  • Attends the cooperative’s Board meetings when necessary on a rotational basis with other coordinators to present information and represent coordinator concerns.
